Definition:
The Billing Representative is responsible for the appropriate billing, coding, AR follow-up and cash posting of assigned accounts.
Minimum Requirements:
- High School Diploma
- Associates Degree, Coding Certification, or related experience (preferred)
- Must have the ability to properly perform job responsibilities as listed
Physical Requirements:
- The ability to reach, push and pull.
- The ability to sit or stand for long periods of time.
- The ability to use a computer keyboard and write for extended periods of time.
- The ability to lift and maneuver 35 pounds without difficulty.
- The ability to complete all job duties.
Reports To:
Billing Manager for all billing and collection activities.
Specific Duties:
- Demonstrates knowledge, understanding and compliance of company policies and procedures.
- Demonstrates knowledge and understanding of (and compliance with) Federal, State and local laws, rules, regulations, and guidelines as they pertain to reimbursement, collections, and compliance.
- Demonstrates complete knowledge of proper billing, coding and posting procedures.
- Ensure security of buildings and all other company property.
- Performs daily appropriate housekeeping duties.
- Ability to work as a team member.
- Complete and maintain appropriate training, certification and licensure for their position.
- Maintain a high level of customer service when dealing with patients, patient families, co-workers, clients, other healthcare providers and the general public.
- Notify Billing Manager of any lapses in documentation resulting in less than full compliance with compliance and HIPAA standards.
- Assists Billing Manager in ensuring that facility and other payor agreements are in compliance with internal standards and with federal, state, and local laws, regulations, and guidelines.
- Maintains security and privacy of all company and patient information at all times in accordance HIPPA and all other local, state and federal regulations.
- Is responsible for keeping billing and patient care records secure in accordance with proper HIPAA and document retention standards..
- Reports to assigned shifts on time and properly groomed in appropriate business attire.
- At all times sets an example of professionalism and places customer service, compliance and safety above all else.
- Notifies Billing Manager of any questions, concerns or issues regarding billing, collections or compliance matters.
- Perform other duties related to billing/coding and account management as directed or needed.

- Daily posting of cash to customer accounts
- Scanning of checks and bank deposits
- Application of checks, cash, credit cards and ACH payments to customer accounts
- Daily reconciliation of cash
- Handle Cash Sheet for Bank Reconciliation
- Collaborate with credit reps and showroom staff on customer credits as necessary
- Post and manage patient account payments.
- Reconcile individual payer transmissions and/or lock box deposits in a timely and accurate manner.
- Monitor and gather remittance advice or lock box deposits for manual and/or electronic posting procedures.
- Post transactions manually when necessary.
- Work exception and error listings associated with maintaining and processing the organizational receivables, such as, misapplied, unapplied payments, and returned checks. Researches unidentified payments.
- Ability to maintain confidentiality of all information under HIPAA guidelines.
- Reporting daily status updates in cash transaction summary and opportunities identified
- Resolves discrepancies by examining and evaluating data; selecting corrective steps and balancing batches properly.
- Collect, sort and log daily batches on spreadsheets.
- Audit accounts in order to resolve line item credits and incorrect adjustments on a daily basis.
- Audit the integrity of manual payment posting and electronic payment posting daily.
- Receives and processes incoming payments in the daily mail coming in to the department.
- Other duties as assigned.
